Communication as a Compass in Project Management
This article serves as a sequel to Navigating The Waves, Anchoring The Truth, which explored the role of a Project Manager as the primary consolidator of project data and not only a guiding, but also a steading, force within dynamic project environments, charging with clarity amid complexity. The article posed projects as seas, and Project Managers as both the anchor and the navigator who ensures substantiated narratives are made available throughout the shifting tides of scope, resources, and unpredictable demands from key stakeholders.
Hereforward, now many nautical miles traveled since the last article, will be an examination of a critical leadership tool held by Project Managers: the ability to effectively communicate. As will be next explored, a skilled Project Manager accompanies their oversight with an acute awareness of their audience and clarity of message despite turbulant conditions at sea.
Central to high-stake projects [their execution, alignment, and delivery] is the Project Manager’s position as the primary conduit from whom information flows, decisions are clarified, and expectations are managed. Whilst communication is often framed as a softskill, I assert it is also strategic capability.
Even the best Project Managers, who plan with astute foresight, are subjected to disruptive changes, perhaps presenting as new constraints, shifting priorities, or altered stakeholder stances. The aforementioned are tidal waves whose early signs include delayed responses, misalignment or conflict within the dynamic teams, or key stakeholders giving vague directives. Thus, it is therefore the responsibility of the Project Manager to interpret these signals and anticipate their implications, which then requires the PM to:
possess situational awareness
including sensitivity to their audience (executive sponsors, teams, external partners, etc.)
articulate project status and any changes with precision
an ability to transform complexities in project data to actionable insight
It is evident that when a Project Manager producces a coherent narrative to reflect project status, communication is positioned as both a stabilizing force and the wind in the ship’s sails. This lesson is of critical importance to both experienced and emerging leaders responsible for oversight of projects with complex strategic initiatives, as it influences the ways in which teams conduct the work necessary in the exucation phase of a project and the energy they bring to it.
Too, the ability of a Project Manager to communicate with precision, adapt their message for each audience and confidently maintain clarity amidst turbulant seas, is best suited to fulfill the psychological contract they have to/with their team, as they reinforce both shared purpose and trust of the multidisciplinarian team.
